Nigerian AI company launches digital system to replace paper visitor logs

A Nigerian artificial intelligence platform has developed a digital visitor management system designed to help businesses comply with data protection regulations while modernizing lobby security.

AEGIS AI’s Visitors and Inward Mail Management System (VMS) aims to transition corporate lobbies from paper-based visitor logs to automated digital systems, addressing what the company describes as significant legal and security vulnerabilities in traditional registration methods.

Compliance Concerns

According to Dr. Joshua Denila, founder of AEGIS AI, conventional paper registers used in Nigerian offices may violate the Nigeria Data Protection Regulation (NDPR) in multiple ways.

“The current paper register likely violates the NDPR in at least three ways: First, it allows unauthorised disclosure because every visitor can see the names and phone numbers of those who signed in before them,” Denila said. “Second, it lacks an Audit Trail; anyone can tear out a page. Third, it fails the Purpose Limitation test.”

Denila warned that these lapses compromise visitor privacy and expose organizations to potential fines of up to 10 million naira or two percent of a company’s annual gross revenue under NDPR provisions.

System Features

The VMS platform includes several features designed to address security and compliance requirements:

Touchless check-in allows visitors to register without physical contact with shared surfaces or devices.

Instant notifications send real-time alerts to hosts via SMS or email when guests arrive.

Blacklist management enables organizations to flag unwanted individuals before they gain premises access.

Mail and package tracking provides a dedicated module to log office deliveries and route them to correct recipients.

Encrypted data storage maintains visitor information in accordance with NDPR standards, according to the company.

Market Outreach

AEGIS AI is offering Nigerian corporate organizations, residential estates, and government agencies a complimentary 15-minute lobby security and mail audit. During these sessions, the company’s security experts evaluate current guest entry and mail handling processes, identify potential NDPR violations, and provide recommendations for digital transformation.

The Nigeria Data Protection Regulation, which governs the collection, processing, and storage of personal data in Nigeria, has increased scrutiny of how organizations handle visitor information. The regulation includes provisions for unauthorized disclosure of personal data and requires organizations to implement appropriate security measures.

AEGIS AI’s initiative comes as Nigerian businesses face growing pressure to digitize operations and ensure compliance with data protection standards. The company has not disclosed how many organizations have adopted the system or provided independent verification of its compliance claims.
